Summary

Our client, a professional governing body in Kenya, wishes to recruit a highly competent, passionate, dedicated and results-oriented professional to fill the position of Registration & Licensing Officer.

The Registration & Licensing Officer is responsible for supporting the registration, licensure, retention, internship, verification, certification, and private practice licensing functions of the Council. The officer ensures efficient processing of applications, maintenance of professional registers and records, verification of credentials, compliance with statutory requirements, and provision of quality customer service to nurses, midwives, healthcare institutions, training institutions, and other stakeholders.

The role contributes to safeguarding professional standards and ensuring that only qualified and duly licensed nurses and midwives are authorized to practice in Kenya.

Description

Duties and responsibilities shall entail:

  1. Registration and Initial Licensure
  • Process applications for registration and initial licensure of nurses and midwives.
  • Verify applicant qualifications, examination results, internship completion records, and supporting documents.
  • Maintain accurate registration records and professional registers.
  • Facilitate issuance, replacement, and reprinting of registration certificates.
  • Support certificate production, validation, and issuance processes.
  • Provide guidance to applicants on registration requirements and procedures.
  1. Retention and Practice Licensing
  • Process applications for annual renewal of practicing licenses.
  • Verify Continuing Professional Development (CPD) compliance requirements.
  • Review retention applications and supporting documentation.
  • Update retention and licensing records within the Council systems.
  • Support retention audits and compliance monitoring activities.
  1. Verification, Certification and Special Records
  • Process applications for verification of registration and licensure status.
  • Facilitate verification requests for emigration, employment, education, and regulatory purposes.
  • Prepare certification documents and professional standing reports.
  • Maintain verification tracking records and correspondence.
  • Process applications for entry into special registers and specialized nursing records.
  1. Internship Coordination
  • Support placement and administration of internship programs.
  • Verify eligibility of interns and internship documentation.
  • Facilitate issuance of internship permits and logbooks.
  • Maintain internship databases and records.
  • Support monitoring, assessment, and evaluation of internship programs.
  • Participate in internship center inspections, accreditation, and compliance audits.
  1. Nurses Trained Outside Kenya (NTOK)
  • Verify applications submitted by nurses trained outside Kenya.
  • Validate qualifications and supporting documents against Council requirements.
  • Facilitate competency assessment and licensing examination processes.
  • Maintain NTOK records and databases.
  • Support monitoring and evaluation of clinical placement programmes.
  1. Private Practice Licensing
  • Process applications for private practice licenses and renewals.
  • Verify compliance with regulatory and licensing requirements.
  • Maintain private practice registers and records.
  • Support inspections and audits of private nursing and midwifery practices.
  1. Records Management and Customer Service
  • Maintain accurate registration, licensure, internship, and verification records.
  • Ensure confidentiality, integrity, and security of professional records.
  • Respond to stakeholder inquiries and correspondence promptly.
  • Provide customer support to nurses, midwives, institutions, and the public.
  • Support implementation of digital registration and licensing services.
  1. Quality Management, Compliance and Reporting
  • Participate in implementation of quality management systems and ISO requirements.
  • Support departmental risk management activities.
  • Maintain departmental records and reports.
  • Prepare periodic operational reports and statistics.
  • Participate in departmental planning, budgeting, and performance management activities.
  1. Cross-Functional Responsibilities
  • Participate in accreditation, inspections, and compliance audits.
  • Support examination-related activities as assigned.
  • Participate in stakeholder engagement activities and professional forums.
  • Perform any other duties assigned by the supervisor.

Education

  • Bachelor's Degree in Nursing, Midwifery, Nursing Education, Nursing Administration, Public Health Nursing or equivalent qualification from a recognized institution.
  • Registration Certificate issued by the Nursing Council of Kenya.
  • Valid Practicing License issued by the Nursing Council of Kenya.

More Details on Experience

  • Minimum three (3) years relevant work experience in nursing regulation, registration, licensing, internship coordination, clinical practice, health administration, or a related field.
  • Proficiency in computer applications.
  • Demonstrated integrity and professional competence.
  • Fulfilled the requirements of Chapter Six (6) of the Constitution of Kenya.
