Our client, a professional governing body in Kenya, wishes to recruit a highly competent, passionate, dedicated and results-oriented professional to fill the position of Office Assistant.

The Office Assistant is responsible for providing administrative, clerical, logistical, and office support services to facilitate efficient organizational operations. The role supports records management, document movement, customer service, office maintenance, and logistical coordination while ensuring smooth day-to-day office functioning.

Description

Duties and responsibilities shall entail:

  1. Administrative Support
  • Assist in filing, photocopying, scanning, and document management.
  • Deliver and collect official documents and correspondence.
  • Support records management and archiving activities.
  • Assist departments with administrative and clerical tasks.
  1. Office Operations
  • Prepare meeting rooms and training venues.
  • Arrange office furniture and equipment as required.
  • Assist in office inventory management.
  • Support maintenance of office facilities and equipment.
  • Monitor and report office supply requirements.
  1. Customer Service
  • Receive and direct visitors appropriately.
  • Provide basic information and guidance to stakeholders.
  • Support front office operations and customer service activities.
  • Maintain orderly and professional reception and waiting areas.
  1. Logistics Support
  • Assist in organizing meetings, workshops, and conferences.
  • Support transportation and logistical arrangements.
  • Receive, store, and distribute office supplies and materials.
  • Assist in event preparation and implementation.
  1. Compliance and Reporting
  • Maintain records of completed assignments.
  • Observe confidentiality and organizational policies.
  • Support implementation of workplace safety measures.
  • Prepare routine administrative reports.
  • Perform any other duties assigned by the supervisor.

Education

  • Bachelors or Diploma in Business Administration, Office Administration, Secretarial Studies, Records Management, Customer Service, or related field.
