Job purpose

To be responsible for assisting in the delivery of a wide variety of grants to community and environmental projects supported primarily by undertaking grant evaluation, management and monitoring activities.

Location- Nairobi, Kibera

Reports to - Grants Manager

Monday – Friday | 8.00 AM – 5.00 PM

Description

Grants Management & Compliance

  • In liaison with the Advancement team, ensure that all grants are well set up in the management information systems before grant kick off
  • Coordinates with Advancement Teams to plan, coordinate and carry out the grant kick off events.
  • Liaising with development in the event a grant is off-track and with the programs/finance to ensure a plan for getting back on track
  • Monitoring progress on deliverables for key grants 
  • Monitoring spending for key grants 
  • In liaison with program teams, gather information for 1st draft grant reports in a timely manner.
  • In coordination with Finance staff, take responsibility for monitoring and ensuring compliance with donor rules and requirements.
  • Track and advice on when need arises for contract amendments with donors.
  • In conjunction with program and finance teams develop and manage an efficient financial tracking and reporting systems for all institutional grants.
  • Host regular grant review meetings bringing together all departments to review progress against the plan, spend against budget and also agree on necessary actions to ensure successful implementation (at least quarterly, preferably monthly)
  • Review SHOFCO policies and procedures and make proposals necessary to improve grant management and compliance practices.
  • Participate in grant proposal development processes.

Capacity Building

  • Advise and support program teams entering into new institutional donor contracts, including compliance with regulations on financial management, procurement, audit, reporting, visibility and communications.
  • Communicate with other teams within SHOFCO to ensure that programs are well understood, and that information is available for communication needs.
  • Develop guides for grants compliance, reporting and SHOFCO procedures

Budget Management

  • Ensure compliance with approved program/project budgets and spending policies, and initiate improved policies and systems regarding spending guidelines, cost allocation, and annual planning.
  • Lead program and finance staff in grant revisions, modifications, no-cost extensions, or budget realignments.
  • Collaborates with program staff in development and input into comprehensive annual program budgets incorporating funding from restricted / loosely restricted funding sources.
  • Ensures grants and contract budgets are aligned with institutional budgets and forecasts.

Reporting

  • Ensure quality information management related to reporting by overseeing the regular maintenance of grant files, reporting calendars, and updating of internal SHOFCO documentation and Grant Management Tools.
  • In concert with the finance team, assist program technical leads and operations staff with understanding the reporting and other compliance requirements on their grants.
  • Proactively identify compliance risks throughout the portfolio and advise programs, support teams, and senior management on necessary actions.
  • Review all reports before submission to the contact person for submission to donors.
  • Maintain and update the management information system on the status of reporting to ensure a single source of truth.

Education

  • Bachelor’s degree in Finance, Accounting, or Development related field.
  • Qualification in Project Management, Accounting, or Equivalent  (Added Advantage)

More Details on Experience

  • At least 5 years experience in a relevant field
  • Demonstrated experience and achievement in a grants office or similar role in a comparable organization
  • Experience in an ERP  system is an added advantage
