Job Purpose
The Fleet and Logistics Manager oversees the logistics operations and fleet for a business specializing in the production and distribution of eggs, day-old chicks, and animal feed. The role involves ensuring efficient and cost-effective transportation while maintaining a diverse fleet of vehicles in excellent condition. A key responsibility is collaborating with the Workshop Manager to address and resolve vehicle maintenance issues promptly, ensuring vehicles operate at optimal performance levels. This role also requires a focus on cost management, operational efficiency, and close collaboration across departments to meet business objectives.
The Fleet and Logistics Manager must also hold a valid driver’s license and be prepared to drive any of the vehicles within the fleet when required. This ensures familiarity with fleet performance and operational demands.
Description
Fleet Management
- Supervise a large and varied fleet of vehicles, including trucks, vans, and specialized vehicles for transporting chicks and feed.
- Develop and enforce preventive maintenance schedules to keep the fleet in top condition and reduce downtime.
- Regularly inspect fleet vehicles and immediately report issues to the Workshop Manager for rectification.
- Coordinate closely with the Workshop Manager and mechanics to address maintenance needs, breakdowns, and repairs efficiently.
- Monitor fleet reliability and performance, ensuring all vehicles meet operational demands and regulatory standards.
- Maintain up-to-date records of vehicle maintenance, servicing, inspections, and insurance compliance.
- Implement and oversee a fleet tracking system to monitor vehicle locations, driver performance, and delivery efficiency.
Logistics Operations
- Plan and execute transportation schedules for eggs, day-old chicks, and animal feed, ensuring timely and efficient deliveries.
- Collaborate with production, dispatch, and sales teams to align logistics with business needs and customer requirements.
- Monitor loading and unloading processes to ensure proper handling of products, maintaining biosecurity and quality standards.
- Address and resolve logistics-related challenges such as vehicle breakdowns, road disruptions, and delivery delays.
- Optimize delivery routes to minimize fuel consumption, reduce delivery times, and lower costs.

Vehicle Reporting and Maintenance Coordination
- Ensure drivers complete daily vehicle inspection checklists and promptly report any issues.
- Review and validate reports of vehicle faults and follow up with the Workshop Manager to prioritize and address repairs.
- Monitor the status of vehicles under maintenance and ensure timely completion of servicing or repairs to minimize downtime.
- Regularly communicate with the Workshop Manager regarding fleet health, repair schedules, and spare parts inventory.
- Implement a system for tracking recurring issues to identify patterns and improve fleet reliability.

Cost Management and Budgeting
- Prepare and manage the fleet and logistics budget, identifying opportunities to reduce costs while maintaining service quality.
- Monitor and control expenses related to fuel, maintenance, repairs, insurance, and vehicle procurement.
- Negotiate favorable terms with service providers for possible vehicle leasing, maintenance, and spare parts.
- Analyze fleet and logistics data to identify cost-saving opportunities and recommend actionable solutions.

Driver and Staff Management
- Recruit, train, and supervise drivers, focusing on safe driving practices and adherence to company policies.
- Monitor driver performance, including punctuality, route adherence, fuel efficiency, and vehicle handling.
- Develop and manage driver schedules to ensure adequate coverage for all transportation needs.
- Conduct regular safety briefings and training sessions for drivers to reinforce company standards.

Collaboration with Departments
- Work closely with the production team to align transportation with production schedules and demand forecasts.
- Collaborate with the sales team to address customer delivery requirements and resolve logistics-related complaints.
- Partner with the finance team to ensure timely processing of fleet expenses and align on cost controls.
- Coordinate with the warehouse team to streamline loading and unloading procedures for greater efficiency.

Health, Safety, and Compliance
- Enforce compliance with health, safety, and biosecurity protocols, especially for vehicles transporting day-old chicks, eggs and feed.
- Ensure all vehicles comply with legal and regulatory requirements, including licensing and safety inspections.
- Investigate and report accidents or incidents involving fleet vehicles, implementing corrective actions to prevent recurrence.

Driving Responsibilities
- Possess a valid and up-to-date driver’s license suitable for all vehicle types within the fleet.
- Be prepared to drive any of the fleet vehicles when required, including in emergencies or during driver shortages.
- Use hands-on driving experience to assess fleet vehicle performance and provide feedback to the Workshop Manager.
- Ensure familiarity with road conditions and delivery routes to make informed decisions regarding logistics operations.

Data Analysis and Reporting
- Track and analyze key performance indicators, including delivery times, vehicle utilization, maintenance costs, and fuel consumption.
- Prepare detailed reports on fleet operations, identifying inefficiencies and proposing improvements.
- Leverage data insights to enhance logistics operations and fleet performance.
Technology and Process Improvements
- Utilize fleet management and logistics software to enhance efficiency and decision-making.
- Explore and implement technologies to optimize routes, track fuel consumption, and improve vehicle reliability.
- Train team members on the use of logistics and fleet management tools.
Education
- Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Certifications in fleet or logistics management are an advantage.

- 5–7 years of experience in fleet and logistics management, ideally in the agricultural or animal production industry.
