Our client, a leading food processing company in East Africa, manufacturing over 50 different products under various brand names that have been in use for over 50+ years and have become well known household names in the region, is looking to hire credit controllers

  • The roles entail assisting the Credit Control & Operations Manager in overseeing and controlling the credit control processes. The role requires close collaboration between internal and external stakeholders ie customers, Debt collection firms, Sales team, warehouse, dispatch etc. Maintaining excellent customer service standards.
  • The role is responsible for timely, proactive, and accurately maintaining customer accounts to foster business growth and decision making.
  • The role aims at always ensuring credit risk exposure at very minimal.

Description

Collections, Risk assessment and Mitigation.

  • Conducting and reporting on a timely basis risk assessment for the assigned list of customers.
  • Receiving and verifying KYC documents for customer accounts opening in the Navision and credit application.
  • Follow up and verification of RF details to ensure accurate credit note details and balances.
  • Enforcing the credit terms extended to the customers.
  • Driving and monitoring collection activities to ensure that proper procedure is followed.
  • Closely monitoring, analyzing, and reporting of customer payment patterns and ensuring strict adherence of the same.
  • Driving and meeting collection targets.
  • Conducting debtor circularization and following up the process to completion Quarterly and/or as and when required.
  • Preparing demand /violation of terms letters and monitoring progress by engaging the customer.
  • Coding of WHVAT and allocation to respective invoices
  • Ensure customer statements are sent twice a month and as and when requested.
  • Communicating and advising respective departments on customers on overdue balances and being part of the process.
  • Resolve client disputes on a timely basis while still maintaining good relations.
  • Escalation of matters relating to credit control in a timely manner.
  • Ensure that the set procedures and control of invoices, credit notes etc. are followed.
  • Prepare weekly and monthly collection report, aged debtors analysis reports.
  • Proposing legal recovery through small claims court for matters.
  • Working with credit bureaus for listings and de-listings.

Reconciliations and Reports.

  • Reviewing accounts receivable records and identifying discrepancies in billing or collections activities.
  • Customer account reconciliation and sign off by 5th of every month.
  • Ensuring that no reconciling balances extending to the following month.
  • Reviewing accounts to determine whether they should be written off as uncollectible.
  • Process improvement – Assist the Credit Control Operations Manager in coming up with the most efficient and effective credit control processes.
  • Suggesting and implementing innovative ways to improve collections processes to management.

Controls and Compliance.

  • Credit assessment through KYC for different customers, both new and old.
  • Strick implementation of credit policy and recommending improvements time to time
  • Monitoring trends in customer accounts to identify potential risk factors such as missed payments, unverified shipment, unverified credit notes etc.
  • Maintaining a risk register for the assigned customers.
  • Fraud prevention, detection, and deterrence.
  • Carry out ad hoc assignments as assigned from time to time by the Credit Control Operation Manager, Commercial Manager and the Director Sales and Marketing.

Education

  • Bachelor’s degree in finance, Accounting or Related Field.
  • Relevant Professional qualifications; CPA Part 3.
  • Knowledge of financial and accounting software and MS Office products (specifically Excel).
  • Knowledge of general accepted accounting principles.

  • Minimum 4 years’ experience in a Credit Control.
  • Proven experience in a high-volume, fast-paced credit environment
